Services and process

What does Konditionswerk do?

We renegotiate companies’ terms with their suppliers: all costs, direct and indirect, in every industry. We are paid only out of the proven savings.

How does the collaboration work?

In three steps: request a pilot review, carry out the Terms Check, mandate the negotiation. After each step, you decide whether to continue. How it works

What do you check in the free pilot review?

You upload around 20 contracts, with the spend of the last three years and one to three invoices per supplier, to a secure data room. We extract the data, compare and calculate. You receive documented findings in euros, supplier by supplier, with the calculation.

What happens in the Terms Check?

Together with management, finance and procurement, we go through all relevant suppliers. The result is a negotiation roadmap with potential, target, limit, negotiator and sequence for each supplier. It usually takes a few weeks, depending on the number of suppliers. We set the exact timetable in the first meeting.

Which costs do you negotiate?

All costs, direct and indirect: goods, materials and external services, as well as construction, technical services and fit-out, facilities and site services, IT and telecommunications, logistics, warehousing and freight, marketing service providers, packaging and consumables, workwear and occupational safety, fleet and mobility, staffing services, insurance and professional services, building security, and operating supplies and office. All cost types

For which companies is this worthwhile?

For companies in every industry, in manufacturing, trade and services. The guideline is annual revenue of around €50m or more. For smaller companies, we focus on the largest suppliers.

Do you also negotiate internationally?

Yes. We negotiate in German and in English, including beyond Germany, Austria and Switzerland.

How much work is involved for us?

For the pilot review, you upload documents and we take care of extracting the data. For the Terms Check, we need an initial meeting and a handover meeting, each with management, finance and procurement. In the negotiations, you set targets and limits and approve every deal.

Fees and billing

What does Konditionswerk cost?

No fixed fee, no upfront costs. We earn only from the proven improvement: one third of the savings in the first twelve months. From month 13, the savings are entirely yours. The pilot review is free of charge; we charge for the Terms Check only if no mandate follows. All prices exclude VAT. Pricing with worked examples

What do the pilot review and the Terms Check cost?

The pilot review is free of charge, as is the savings calculator on this website. The Terms Check is free of charge if you mandate us; otherwise the price agreed before the start applies.

How do you calculate the savings?

On a verifiable basis agreed in advance: the improvement in terms multiplied by the prior-year volume or by the annual volume agreed in the contract, for example for IT contracts with fixed monthly amounts. We provide the proof from your invoices. We invoice once the improvement in terms has been confirmed and recorded as an addendum to the contract. How we invoice

Do longer payment terms count?

Yes. Longer payment terms bring liquidity. We value them at a cost of capital of around 4% per year: volume times additional days divided by 365 times 4%. We receive one third of this in the first year. Example: €100m volume, payment terms extended from 30 to 40 days, gives €2.74m more liquidity and an interest benefit of around €110,000 per year.

What about recovery claims?

If we find billing errors, such as rebates not granted or incorrect invoices, you are owed money. Our fee is a one-off third of the amount you recover.

What happens after the first twelve months?

From month 13, the savings are entirely yours. If you wish, we then monitor terms, invoices, deadlines and price increase requests and renegotiate annually, as a subscription from the second year.

Are there any hidden costs?

No. For negotiations, there is no fixed fee and there are no upfront costs. Costs arise only from proven savings, from recoveries, for the Terms Check if no mandate follows, and for monitoring from the second year if you want it.

Data and confidentiality

How do you protect our data?

Before any data is handed over, we sign a non-disclosure agreement. Only the team working on your mandate has access. We use the data solely for your mandate and delete it on completion. Security and data protection

How do we give you the documents?

Via a secure data room. Once the non-disclosure agreement is in place, you receive a personal link by email and upload the documents to three folders: contracts, spend, invoices.

Do you need access to our systems?

Not for the pilot review or the Terms Check. You give us documents; we take care of extracting the data.

What do you use AI for?

We use AI tools to extract prices, tiered discounts, rebates, payment terms and deadlines from contracts, to compare terms and to monitor deadlines with checking routines. Every figure that goes into a negotiation is checked by a person. We negotiate with the large suppliers in person, and every deal requires your approval.

Do you disclose other clients’ prices?

No. We do not pass other clients’ prices on to anyone, and we do not disclose supplier-specific prices. Benchmarks from client projects will be added from 2027, only aggregated across at least five companies, anonymised and historical.

Who do we enter into the contract with?

With Rinascai GmbH in Zurich, Switzerland. Konditionswerk is a service of Rinascai GmbH. For clients in Germany, we agree on German law and a place of jurisdiction in Germany.

Negotiation and suppliers

Who negotiates with our suppliers?

Experienced procurement negotiators from our team negotiate with the large suppliers in person, always together with your buyer. We contact the many small suppliers in a standardised, software-supported way, according to your rules. Our team

Are we risking our relationship with our suppliers?

The supplier deals with an independent third party, and your buyer sits at the table too. That keeps your relationship protected.

Who decides on a deal?

You do. Every deal requires your written approval by email before we commit.

How is a result recorded?

As an addendum to the existing contract. We confirm the result by email straight away.

What happens if a supplier does not want to negotiate?

Then the existing contract stays as it is. We do not terminate anything without your consent.

We have our own procurement team. Does that work?

Yes. We negotiate with your buyer, not around them. We bring benchmarks, time for the many small suppliers and the role of the independent third party. For procurement and purchasing
